Short answer: when cloud storage reaches its quota, the first symptom is usually that new uploads or sync operations stop. But the blast radius is very different by provider. Dropbox mostly contains the problem inside Dropbox. Google can stop Drive uploads, Google Photos backups and Gmail send/receive at the same time. iCloud can pause Photos, Drive uploads and device backups. Microsoft can make OneDrive read-only and, under its unified storage model, can also stop Outlook.com mail. pCloud is closer to Dropbox: it is primarily a storage quota problem rather than an email-suite failure, although over-quota data can become a deletion risk after a paid subscription expires and the account falls back to Basic.
That means "my cloud is full" is not one problem. It can be:
- a sync interruption;
- a backup interruption;
- a mail interruption;
- a read-only state;
- a longer-term deletion risk after downgrade or prolonged over-quota status.
If your storage is already near 100%, the safest first move is not to reinstall the desktop app or start deleting random folders. Check which quota is full, confirm what services share that quota, then reduce usage or increase capacity before changing sync configuration.
The fast comparison: what actually breaks first?

The useful comparison is not simply which plan gives more terabytes. It is what else stops working when those terabytes are exhausted.
Dropbox full: the account stops syncing, but the failure is relatively contained
Dropbox's current help documentation is unusually direct: when the account is full, file syncing stops. Dropbox also warns some Basic users who remain over quota that restrictions can extend to upload, share, move and preview actions.
The first diagnostic mistake is confusing Dropbox quota with local disk space. They are different failure domains:
- Dropbox storage full means the cloud account has no room for more data.
- Computer disk full means the local machine cannot cache, download or modify files normally.
A user can have 500 GB free on the laptop and still have Dropbox stop because the cloud plan is full. The opposite is also possible.
There is another Dropbox-specific trap: ordinary shared folders can count against each member's storage. Someone else can add data to a shared project and push your account toward its own quota. What to do first on Dropbox
- Open Dropbox storage usage in the account settings.
- Check whether shared folders are consuming a meaningful part of the quota.
- Confirm whether the account was downgraded from a paid plan or removed from a team.
- Remove unneeded cloud content or move to a larger plan.
- Wait for the account to return under quota before treating desktop sync errors as a client problem.
Do not reinstall Dropbox just because sync stopped at 100% quota. A reinstall cannot create server-side storage capacity.
Google storage full: this has the widest consumer blast radius
Google's personal storage model is the most important one to understand because Drive, Gmail and Google Photos share the same Google Account storage pool.
When the account reaches its limit, Google states that you cannot:
- upload or create files in Google Drive;
- sync new files from Drive for desktop;
- back up new photos or videos to Google Photos;
- send or receive mail in Gmail.
Messages sent to a full Gmail account can be returned to the sender. Google also says that if an account remains over quota for 2 years, content across Gmail, Drive and Photos may be deleted.
That makes Google storage exhaustion fundamentally different from a Dropbox-only problem. A 30 GB video archive in Drive can become an email-delivery problem even though Gmail itself did not suddenly grow.
The hidden cost of a shared quota
Shared quotas are convenient when one service has spare capacity. They are dangerous when one fast-growing workload can starve unrelated services.
A common pattern looks like this:
phone photos keep growing → Google Photos fills storage → Drive sync stops → Gmail stops receiving new mail.
The storage decision has now become a communications decision.
If you rely heavily on Gmail, the correct storage question is therefore not just "how much Drive do I need?" It is:
How much headroom do I want between my file archive and the point where email becomes collateral damage?
iCloud full: Photos, Drive and device backup can all stall
Apple's consumer model is similar in one important respect: iCloud capacity is used by multiple Apple services.
Apple says that when iCloud storage is full:
- iCloud Photos syncing can pause;
- new files can stop uploading to iCloud Drive;
- iPhone and iPad backups can stop;
- other iCloud features may no longer stay up to date until capacity is restored.
For an Apple-only household, this integration feels seamless while storage is healthy. At 100%, the same integration increases the impact of running out of space.
The most dangerous assumption is:
"My Mac still has the file, so iCloud must have backed it up."
That is not safe reasoning when the account is full. A local file can exist while cloud upload is paused. The same applies to new photos that have not completed iCloud sync and to devices whose last successful backup is older than expected.
What to verify before deleting anything from iCloud
- Check the iCloud storage meter.
- In Photos, verify sync status rather than assuming every recent photo is already uploaded.
- Check the date of the latest successful device backup.
- In iCloud Drive, verify important files are present online.
- Only then remove unnecessary cloud content or upgrade capacity.
Because iCloud is a sync ecosystem, deleting data to make room can itself propagate. Capacity cleanup should be deliberate.
OneDrive full: read-only files are only part of the story
Microsoft's current OneDrive documentation says that once OneDrive exceeds its storage quota:
- you cannot upload new files;
- you cannot edit or sync new files;
- camera-roll uploads stop;
- existing files remain but become read-only.
For personal Microsoft accounts, there is another important dependency: Microsoft documents a unified cloud storage relationship where a full OneDrive storage allocation can also prevent Outlook.com from sending or receiving mail, even if the separate mailbox-storage meter itself is not full.
Microsoft also states that after 6 months of exceeding the OneDrive storage quota, OneDrive files may be deleted, and deleted files in that scenario are non-recoverable.
That six-month warning changes how you should treat an expired Microsoft 365 subscription. If your quota drops and the existing OneDrive data no longer fits, "I'll deal with it later" is not a neutral state.
Read-only is a warning state, not a backup strategy
When OneDrive becomes read-only, the fact that you can still download existing files can create false comfort. The important questions are:
- Are new files still being protected? No.
- Is Camera Roll still uploading? No.
- Are edits still reaching the cloud? No.
- Could prolonged over-quota status become a deletion risk? Yes, according to Microsoft's current support policy.
The right response is to restore quota health, not to treat read-only access as a stable archival mode.
pCloud full: a narrower failure domain, but the quota is still real
pCloud does not bundle a Gmail- or Outlook-style email service into the same consumer storage pool. That gives it a simpler failure domain: if the storage allocation is exhausted, the storage service is the thing that needs capacity; your primary email account does not stop because the pCloud meter is full.
That does not make pCloud unlimited. The plan quota is still the ceiling. If your account has 2 TB and you have used roughly 2 TB, another 300 GB archive still needs either cleanup or more capacity.
The more interesting pCloud risk appears when a paid subscription ends and the account is downgraded to Basic while still containing more data than the free quota.
pCloud's current help documentation says:
- there is a 5-day grace period when a paid subscription ends;
- after downgrade, files exceeding the Basic quota remain for 30 days;
- after that, excess files can be moved to Trash on a random basis;
- deleted files then remain in Trash for the Basic-plan Trash period, currently 15 days.
That is a very different risk from "pCloud deletes everything the second payment fails," but it is still a real deadline.
Where Lifetime changes the failure model
This is the commercial distinction worth understanding clearly.
A pCloud Lifetime plan does not mean:
- infinite storage;
- automatic capacity upgrades;
- unlimited version history;
- immunity from filling the purchased quota.
What it does remove is the recurring subscription-renewal event for the purchased Lifetime capacity. If your storage requirement is stable and you know you need roughly the same capacity for years, that removes one failure path:
annual subscription fails or is cancelled → paid quota disappears → account becomes over quota.
You can still fill a Lifetime plan. But you do not have to keep renewing that same storage entitlement every year.
The Big 5 are solving two different problems: storage capacity and ecosystem capacity
This comparison becomes much clearer if you divide providers into two groups.
Group 1: storage quota mainly breaks storage
Dropbox and pCloud are closer to this model.
If the account is full, the primary failure is inside the file-storage product. That can still be serious: sync stops, uploads fail, collaboration may break, and prolonged over-quota status can create retention risks depending on plan state.
But filling the file archive does not normally disable your independent Gmail, Outlook or other mail provider.
Group 2: storage quota is part of a larger ecosystem meter
Google, Apple and Microsoft make storage part of a broader consumer ecosystem.
That has genuine benefits:
- one subscription can cover multiple services;
- photos, files, backups and productivity tools integrate tightly;
- users do not need to manage several independent storage products.
The trade-off is blast radius. One fast-growing workload can consume capacity needed by something operationally unrelated.
For Google, a video archive can consume room needed by Gmail. For Apple, photo growth can consume room needed by device backups. For Microsoft, OneDrive capacity can interact with Outlook.com's unified cloud-storage state.
Neither architecture is universally better. The correct choice depends on whether you value integration or failure isolation more.
Which provider is safest when you are already close to full?
There is no universal winner. Use the failure mode that matches your actual dependency.
Choose Google if ecosystem integration matters more than isolation
Google remains an excellent fit when Docs, Gmail, Photos and Drive are already your operating environment. The correct response is to buy enough headroom and monitor the shared pool.
If Gmail is business-critical, do not run the account permanently at 95–100%. Your file archive and email capacity are sharing the same risk budget.
Choose iCloud if Apple backup and Photos integration are the priority
For iPhone and Mac users, iCloud is difficult to replace as a native device/Photos layer. A separate storage provider does not reproduce every Apple backup function.
The practical response is similar: maintain headroom. If your iPhone backup and photo library depend on iCloud, running the account full is not just a file-storage inconvenience.
Choose OneDrive if Microsoft 365 integration dominates
If you actively use Microsoft 365, Windows known-folder backup and Office integration, OneDrive remains a rational default. But treat over-quota warnings as continuity warnings, not cosmetic notifications.
Choose Dropbox if you want mature sync without tying file quota to email
Dropbox's advantage here is not a special recovery mechanism. It is that the quota problem is comparatively contained. If Dropbox is full, Dropbox breaks; your separate email provider does not become collateral damage.
Choose pCloud if you want storage to be a separate long-term layer
pCloud becomes more compelling when your mental model is:
email is one service, productivity apps are another, and long-term file storage is its own infrastructure layer.
That separation is especially useful for:
- large photo/video archives;
- cross-platform file libraries;
- freelancers who do not want archive growth tied to Gmail or Outlook capacity;
- users whose storage requirement is stable enough to evaluate Lifetime pricing;
- people who want a virtual-drive storage model rather than a productivity-suite bundle.
The trade-off is obvious: pCloud does not replace Google Workspace, Microsoft 365 or Apple's native backup ecosystem. If those integrations are the reason you are paying, keep them.
A 2 TB example shows why the architecture matters
Imagine a user with:
- 1.4 TB of photo/video archive;
- 300 GB of active project files;
- rapidly growing phone photos;
- business-critical email;
- a 2 TB storage tier.
At 1.9 TB used, the remaining 100 GB is not equivalent across providers.
The remaining capacity is also protecting Gmail and Google Photos headroom. A 100 GB new video import can remove the spare capacity for email and photo backup.
iCloud
The remaining capacity is also relevant to iCloud Photos and device backups. Filling it with general files can interrupt those workflows.
OneDrive
The remaining capacity affects OneDrive's ability to accept new files and can interact with Outlook.com under Microsoft's unified storage policy.
Dropbox
The risk is more concentrated: Dropbox sync and upload behavior suffers, but your unrelated email service remains outside the quota.
pCloud
The risk is similarly storage-focused. If that 2 TB is a Lifetime entitlement, there is also no annual renewal event that can suddenly reduce the purchased capacity. But once the 2 TB itself is genuinely full, you still need a capacity decision.
That last sentence matters. Lifetime changes the billing horizon, not the laws of storage.
Do not "fix" full cloud storage with destructive sync actions
When people see a red storage warning, they often start clicking the wrong controls.
Avoid these first reactions:
- unlinking the desktop client before checking for unsynced local-only files;
- deleting a synced folder because you think it only removes the local copy;
- clearing application cache when the actual problem is server quota;
- emptying Trash without verifying whether anything important is recoverable there;
- cancelling a paid plan while the account still contains more than the fallback quota;
- assuming every recent photo or document already reached the cloud before deleting the local copy.
The correct order is:
Measure → identify shared quota → preserve unsynced data → free or add capacity → verify cloud state → only then optimise the local client.
If your account is full today, use this recovery order
Step 1: identify which quota is actually full
Check the provider's web account page, not only the desktop notification.
A full laptop disk and a full cloud quota can produce similar "sync stopped" symptoms but require opposite fixes.
Step 2: protect unsynced local files
If a folder shows pending upload, waiting to upload, sync error or another incomplete state, do not delete or relocate it blindly.
Copy irreplaceable local-only files to a separate safe location first.
Step 3: understand the blast radius
Ask:
- Does this quota also affect email?
- Does it affect phone-photo backup?
- Does it affect device backups?
- Is the account already downgraded?
- Is there a published deletion clock if it remains over quota?
Step 4: get below quota or increase capacity
The fastest short-term repair is usually one of:
- remove genuinely unnecessary cloud data;
- empty Trash/Recycle Bin after verification;
- remove duplicate archives;
- move cold data to a separate archive tier;
- upgrade the current plan.
Step 5: verify service recovery
Do not assume the warning disappearing means everything caught up.
Verify:
- a small test file uploads successfully;
- desktop sync returns to current/up-to-date state;
- phone photo backup resumes if applicable;
- email send/receive works if the quota affected mail;
- the most recent important files are visible on the web.
When pCloud Lifetime is the more rational response — and when it is not
If you repeatedly hit storage ceilings because the archive itself is durable and predictable, the unresolved question may no longer be "how do I free 20 GB today?"
It may be:
Am I going to keep paying for roughly the same storage requirement every year?
That is where pCloud Lifetime becomes commercially relevant.
For a buyer with a stable 2 TB or larger long-term archive, paying once can remove recurring renewal dependence for that capacity. It also keeps that archive in a storage-specific service instead of consuming the same quota used by Gmail, Outlook or Apple device backups.
But pCloud Lifetime is a poor answer if:
- your required capacity is growing rapidly;
- you expect to need a different provider in one or two years;
- you rely on Google Docs or Microsoft 365 collaboration more than raw storage;
- Apple Photos/device backup is your primary reason for paying;
- you are choosing Lifetime only because the one-time payment sounds emotionally satisfying.

Complete the capacity decision

Cloud storage running full is not just a capacity problem. It is an architecture test.
Use this rule:
- Google if the integrated Google ecosystem is worth managing one shared risk pool.
- iCloud if Apple Photos and device backup integration outweigh the cost of shared iCloud capacity.
- OneDrive if Microsoft 365 and Windows integration are the priority, but do not ignore read-only/over-quota warnings.
- Dropbox if mature sync is more important than ecosystem bundling and you want the quota failure mainly contained to storage.
- pCloud if you deliberately want long-term file storage separated from email/productivity quotas and the Lifetime model fits a stable archive requirement.
Most people only compare price per terabyte. The more important question is what else stops working when that terabyte is gone.
