Short answer: choose cloud storage when you need files available across devices, off-site from your computer and easy to reach over the network. Choose an external hard drive when you want direct local control, do not want routine access to depend on an internet connection, or need a large offline working/archive copy. For files you would genuinely regret losing, the better answer is often both — because one cloud account or one external drive is still one failure domain.

The mistake is comparing terabytes instead of failure domains

Cloud storage and an external hard drive can both hold the same 500 GB folder. That does not make them equivalent.

NIST defines cloud computing around convenient, on-demand network access to shared computing resources. For a storage buyer, the practical implication is straightforward: the service is designed to make data available through a network rather than tying access to one physical disk beside one computer.

An external drive does almost the opposite. It gives you a physical copy you control locally. It can remain usable when your internet connection is unavailable, but it can also be lost, stolen, damaged or simply left in the same room as the computer it was supposed to protect.

This is the first useful decision rule: do not put every important copy inside the same failure domain. An external hard drive wins when local access is the job

An external drive is difficult to beat when the file needs to be local anyway. Video projects, RAW photo libraries, disk images and large archives can all be easier to manage when the working copy is attached directly to the computer instead of being fetched over a network connection.

Physical control is also a real benefit. You can disconnect the drive, put it somewhere else and know that routine network access cannot reach it while it is unplugged. But physical control creates a responsibility that cloud users often outsource: you have to remember that the hardware itself can fail or disappear. A single external drive is therefore a storage location, not a complete resilience strategy.

Cloud storage wins when the file has to outlive a device

The strongest cloud-storage advantage is not that it has no hardware. Hardware still exists — it is simply operated by the provider rather than sitting on your desk. The practical benefit is that your access is not tied to carrying one specific drive.

If you switch laptops, work from a phone and desktop, travel frequently, or need to retrieve a document while away from home, broad network access can matter more than ownership of the physical disk. This is the use case the cloud model is built around.

Cost only becomes useful after you define how long the files must stay

An external drive looks simple financially: buy hardware, use it, replace or add hardware when needed. Cloud storage looks simple in the opposite direction: choose a capacity tier and pay according to the provider's billing model.

Neither headline tells you the real long-term cost.

External-drive ownership can include additional drives for redundancy, future replacement, adapters, physical storage and the time required to maintain copies. Cloud ownership can include recurring subscription payments, capacity upgrades, ecosystem switching costs and the risk of paying for convenience you do not actually use.

Capacity price is only one component. A cheaper storage layer can still be the more expensive workflow.

The cleanest answer is often a two-layer system

Choose cloud storage if...

You value access from multiple devices, off-site availability, easier remote sharing and reducing dependence on one local disk. This is especially rational when the file needs to travel with you more often than the hardware does.

Choose an external hard drive if...

You need a large local working set, unreliable internet would block normal work, or you deliberately want an offline copy you can disconnect and physically control.

Choose both if...

The files are irreplaceable enough that one device, one location or one account should not be allowed to become the only point of failure.

Choose neither as your only backup if...

You are still assuming that “I copied it somewhere once” is the same as a tested recovery plan. Capacity without recoverability is unfinished protection.
